These email addresses might be fun but they really aren’t what you need for most day to day use.

Remember more and more businesses are asking for email addresses as the main point of contact.

It is almost impossible to order anything online without an email address so try to get one that will last.

If you have multiple email accounts, perhaps a mixture of business and personal accounts or several different business email accounts how do you access them easily and at the same time keep the emails separated?

There are in fact several possibilities:

Use different devices for each email account

Use different email clients.

Use identities.

Use different computer login accounts.

Use a Web Based Client

Use Different Devices for each Email Account

This is the best solution but it is not really practical for most people to use a different computer/laptop for each email account that they access.

However this approach is used by most people who work for a larger organization where the work computer is used only for work and they have a personal computer to use at home.

Use a different Email Client

This is a very good solution if you only have a single machine and is easy to implement. You can install/use multiple email clients on a single machine.

For example you could use thunderbird for business use and outlook live mail for personal use.

If you use desktop based email clients then again you shouldn’t use them on a shared PC and if you do then you need separate login accounts.

Use identities

This used to be a popular way of sharing a computer with multiple users and keeping email separated.

However it isn’t very secure and isn’t really used today and will probably be dropped by most clients.

Windows live mail no longer support identities. For this reason I don’t recommend that you consider it as a solution.

Use Different Computer Accounts

If you share a computer with others then you should always use different computer accounts to login.

However even if you are the only user using the PC you can still use different user accounts e.g a business user account and a personal user account to separate work from personal use.

Email is not shared between different user accounts and so the email accounts are separated.

Use A web Based Client

If you use a web based client (e.g. Gmail) to access the email account then the accounts are separate because they are not stored on the local PC.

This is the only solution that works securely if you share a PC and is recommend for families/ family computers.

Question- How do I send an email to a group of people without letting them see each others email addresses?

Answer – You need to add the email addresses to the blind copy line (BCC) not the to or CC line to accomplish this.

However in most email programs the BCC line isn’t shown by default when you compose the email which is why many people miss it.

Here is a screen shot of the new message window in Yahoo email notice the link to enable the bcc line.

Webmail provides access to email through a web browser e.g. Internet explorer, Firefox etc.

Because email is sent, received and stored on the web it is ideal choice if you need to access email from different physical locations or computers.

Even if you don’t require access to your email from different locations/machines it can also be an ideal choice as there is no need to set-up and install an email client on you computer, or worry about :

Backing up email.

Upgrading your computer.

Email Privacy if you are using a shared computer.

For most email users web based email is the ideal choice and the only email access you will need.

In Part 1 we looked at using email forwarding to read a colleague’s email while they are away on vacation.

In part 2 we are going to look at the other two methods-webmail and configuring an email client.

Webmail is my preferred method as it doesn’t require any setup. All it requires is that you know the account name/password of you colleagues account and that the account is accessible via webmail (most are today).

Of course there are security issues as you have full access to the other person’s email account.

The final method is to configure an email client to access the other email account. All email clients can access multiple email accounts/mailboxes and so it is possible to configure your client e.g. outlook express to access your colleagues email while they are on vacation.

This is trickier and if incorrectly setup then you will finish up with the only copy of the emails and when your colleague returns from holiday all the emails that they received in that time have been deleted and are on your computer.

The security issues are the same as webmail as again you have full access to the colleague’s email account

You can find out more about the above techniques in:

I received a question the other day about a problem which will no doubt be
faced by many of you this holiday season. Here is the question

How can I get my e-mails from another computer or site. I\’m covering for
another manager and I have to go to her property to see the e-mails

There are several ways of doing this depending on what type of email system
you are using.

The easiest way is to get the other person to forward the email to you while
they are away. This way the email is sent to their mailbox and a copy is sent to
yours. You can reply to the emails and email replies will be sent to you.

To do this you will either need access to the email account on the email server or they will need to have done it for you (most common). If you have Gmail account then you can find the forward option at the bottom of the screen under the messages:

If you click the forward link you get another screen (below) which lets you
configure an email address to send it to. You should also keep a copy on the
server so that the other person has access to the mail when they return.

The above configuration is usually done by the person whose mailbox it is and
who want some else to access the emails while they are away. It can also be be
configured by anyone who has access to the email account.

Although the above used Google Gmail almost all email providers that I have
encountered have this feature it is just a question of locating it.

The email forwarding method is the one most commonly used (even in large
organisations) as it is under the control of the person whose mailbox it is and
when they return from holiday they simply turn it off.

It is not the only way the other two common methods are:

Webmail Access

Configuring an email client to access the mailbox.

These we will look at in a few days. Here you can find more about email forwarding
